2. DATA WE COLLECT

We may collect:

• Account and agency information
  
• Calendar and CRM data
  
• Feedback recordings and transcripts
  
• Buyer and vendor engagement data
  
• Website registration details
  
• Property preferences
• Name, email, profile photo
  
  

3. DATA PROCESSING

We use AI technologies to analyse engagement data, generate summaries, model preferences, and produce insights. Profiling is used for analytical and service optimisation purposes only and does not result in automated decisions producing legal or similarly significant effects. Individuals may object where applicable.

We use the following third parties to provide our service:

• Infrastructure: AWS, Google Cloud, Convex, Vercel.
• AI & Voice: OpenAI, Anthropic, Google, DeepGram, Whisper, Hume, Vapi, Twilio. 
• Analytics/Support: Amplitude (EU Operations), Intercom, ProductFruits (Onboarding flow), Resend.
• Payments: Stripe.

4. CALENDAR INTEGRATIONS

Viewery integrates with third-party calendar services, including Google Calendar (via the Google Calendar API) and Microsoft Outlook Calendar (via the Microsoft Graph API), to provide its core functionality. This section describes how we access, use, store, and share calendar data obtained through these integrations.‍

What we access: We request read-only access to your calendar events. This includes event titles, start and end times, locations, and attendee information. Our use of Google Calendar data complies with the Google API Services User Data Policy.‍

How we use it: We use calendar data solely to identify property viewing appointments and determine when viewings have concluded, in order to trigger automated feedback collection workflows within the Viewery platform.‍

How we store it: Relevant event data is stored securely within our infrastructure hosted on Google Cloud. Data is retained only for as long as necessary to provide the service and in accordance with our retention obligations set out in Section 8 below.‍

How we share it: Calendar data is accessible only to authorised members within the user's agency organisation on Viewery. We do not sell, share, or disclose calendar data to any third parties except as required to provide the service (see Section 3) or as required by law.‍

What we do not do

- We do not modify, create, or delete events on your calendar.
- We do not use calendar data for advertising or profiling purposes.
- We do not transfer calendar data to any party not listed in this policy.

Revoking access: You may disconnect your calendar at any time through your Viewery account settings. You may also revoke access via your Google Account permissions at https://myaccount.google.com/permissions or via your Microsoft account at https://account.microsoft.com/privacy.

5. DIRECT WEBSITE USERS

Where individuals submit data directly:

Viewery acts as Data Controller.

We may:

• Provide property-related information;
  
• Notify individuals when a participating agency becomes available;
  
• Provide agency contact details.
  

We do not share personal data with agencies without explicit consent.

6. OUTBOUND COMMUNICATIONS

Where communications are made on behalf of an agency:

• The agency is Data Controller;
  
• Viewery acts as Data Processor.
  
  

Individuals may object at any time.

7. LAWFUL BASIS

Processing is based on:

• Contractual necessity;
  
• Consent (where required);
  
• Legitimate interests for service improvement.
  
  

8. RETENTION

We retain personal data only for as long as necessary for contractual, legal, or operational purposes.

Website enquiry data is retained for up to 24 months unless consent is withdrawn earlier.

Agency data is retained in accordance with contractual obligations and deleted following termination unless legally required to retain it.

9. SECURITY

We implement appropriate technical and organisational measures including encryption, access controls, and secure infrastructure hosting.

10. COOKIES

Strictly necessary session cookies:

• Stored for 7 days;
  
• Extended automatically with each new session.
  
  

We also use Intercom and Amplitude for support and analytics. Users may manage preferences via the cookie banner.

11. INTERNATIONAL TRANSFERS

Where data is processed outside the UK, appropriate safeguards including Standard Contractual Clauses and the UK Addendum are implemented.
